Description of duties: This is an OPS position. Provides secretarial and staff support for the regional wildlife biologist and other section staff including the district wildlife biologists. Activities in support of these positions shall include: 1) preparing, composing and tracking all correspondence (letters, memoranda, permits, applications); 2) researching and assembling data for reports and administrative decisions; 3) assisting staff with questions regarding established policies and procedures to ensure compliance and consistency; 4) processing invoices, requisitions, purchasing card charges and other administrative paperwork; 5) organizing, maintaining and updating hard copy and electronic files of all project related activities and personnel records; 6) routine clerical support including receiving and properly routing incoming mail, handling outgoing correspondence, maintaining stocks of office supplies, and photocopying; 7) maintains calendars and making meeting or travel arrangements; 8) assists with procurement of commodities and services; and, 9) serving as liaison with field offices and personnel on administrative and clerical procedures; 10) responds to requests for publications, rules, status of projects and other information; 11) records and distributes messages/information; provides assistance to other sections/offices/divisions; completes other duties as assigned or needed.
Serves as a Purchasing Card (p-card) Specialist in the Regional Service Center. Duties include: 1) reviewing purchases for compliance with Florida Statutes, and FWC rules and policies; 2) entering purchasing information into the State’s accounting system (FLAIR); 3) maintaining employees’ purchasing information; 4) ensuring invoices are submitted with the proper documentation; and 5) printing reconciliation reports, organizing monthly p-card purchases for reconciliation and reconciling employees’ expenditures.
